How we handle your information at Pyrelith Frontier

Last Updated: October 30, 2025

Look, we get it - nobody actually wants to read through pages of legal jargon. But since you're here, we'll keep this straightforward and honest about what we do with your info when you bring your rig into our shop or contact us online.

At Pyrelith Frontier Auto Repair, we've been working on heavy-duty trucks and off-road vehicles long enough to know that trust matters. That goes for how we fix your equipment AND how we handle your personal information.

When you're dealing with us, here's the kind of stuff we typically need to keep on file:

  • Basic Contact Details: Your name, phone number, email address - pretty standard stuff so we can actually reach you when your truck's ready or if we find something that needs attention.
  • Vehicle Information: Make, model, year, VIN, mileage, service history. We're not being nosy - this is essential for proper diagnostics and making sure we're ordering the right parts for YOUR specific rig.
  • Service Records: What we've worked on, parts we've replaced, maintenance schedules. This helps us track patterns and catch potential issues before they leave you stranded on some back road.
  • Payment Info: Billing address and payment details for processing invoices. We don't store complete credit card numbers on our systems - that goes through secure payment processors.
  • Fleet Account Data: If you're running a commercial operation with us, we'll keep records of your fleet vehicles, billing preferences, and authorized contacts.
  • Website Usage: Like most sites, we collect basic technical info through cookies - IP addresses, browser types, pages you visit. Nothing sinister, just helps us understand how folks use our site.

We're not in the business of selling your data or spamming you with nonsense. Here's what we actually do with your information:

  • Service Delivery: The obvious one - we need your info to fix your vehicles, order parts, and let you know when work's complete.
  • Maintenance Reminders: We might shoot you a heads-up when you're due for an oil change or inspection. These aren't sales pitches - they're genuine reminders based on your service history that can save you from bigger headaches down the road.
  • Safety Recalls: If there's a manufacturer recall on parts we've installed, we'll contact you. This is important stuff that could affect your safety or your truck's reliability.
  • Billing & Invoicing: Processing payments, sending receipts, handling warranty claims - the financial side of things.
  • Improving Our Services: We analyze service patterns and feedback to get better at what we do. All anonymized - we're looking at trends, not individual customers.
  • Legal Requirements: Sometimes we gotta keep records for tax purposes, warranty documentation, or regulatory compliance. It's not exciting, but it's necessary.

We're pretty protective of your info, but there are a few situations where we share it:

  • Parts Suppliers: When we're ordering parts for your vehicle, we share relevant vehicle info with our suppliers. They need to know what we're working on to send the right components.
  • Warranty Claims: If you've got warranty work, we'll share necessary details with manufacturers or warranty providers to process your claim.
  • Payment Processors: Your payment info goes through secure third-party processors. We never see or store your full credit card numbers.
  • Service Partners: Occasionally we work with specialized shops for certain fabrication or repairs. We only share what they need to complete the work.
  • Legal Obligations: If required by law, court order, or government request, we'll provide information. We're not about to break the law to protect data, but we won't volunteer anything either.
  • Business Transfers: If we ever sold the business (not planning on it), customer records would transfer to the new owner to maintain service continuity.

What we DON'T do: We don't sell your information to marketing companies, data brokers, or anyone else. Your email won't end up on some spam list because of us.

We take security seriously - just like we take care with your vehicles. Here's what we do to keep your data safe:

  • Secure Systems: Our computer systems are protected with firewalls, encryption, and regular security updates. Nothing's 100% hack-proof, but we're not making it easy for anyone.
  • Limited Access: Only employees who actually need customer info to do their jobs have access to it. The guy in the bay working on brakes doesn't need your email address, so he doesn't get it.
  • Physical Security: Paper records are locked up when not in use. We're not leaving invoices sitting around where anyone can grab 'em.
  • Secure Communications: Our website uses SSL encryption for any data you send us online. Look for the padlock in your browser.
  • Regular Backups: We backup customer data regularly so it's not lost if something goes wrong. Those backups are encrypted and stored securely.
  • Proper Disposal: When we do need to get rid of old records, we shred or securely delete them - not just toss 'em in the trash.

Our website uses cookies - not the kind you eat, unfortunately. Here's the deal:

  • Essential Cookies: These keep the site working properly - remembering what's in your contact form if you navigate away, that sort of thing.
  • Analytics: We use tools to see how people use our site - which pages are popular, where folks are getting stuck. This helps us make the site better. It's aggregated data, not tracking individuals.
  • Your Browser Controls: You can disable cookies in your browser settings if you want. Some site features might not work as smoothly, but you'll still be able to access information and contact us.

We don't use advertising cookies or third-party tracking for marketing purposes. We're an auto repair shop, not a tech company trying to follow you around the internet.

It's your information, and you've got rights when it comes to how we handle it:

  • Access Your Data: Want to know what info we have on file for you? Just ask. We'll provide a copy of your customer records.
  • Corrections: If something's wrong or outdated in your records, let us know and we'll fix it. Important for making sure we've got current contact info and accurate vehicle details.
  • Opt-Out of Marketing: Don't want maintenance reminders or promotional emails? No problem - just tell us and we'll take you off those lists. You'll still get essential service communications though.
  • Data Deletion: If you're no longer a customer and want us to delete your records, we can do that. Keep in mind we might need to retain some info for legal or warranty purposes, but we'll get rid of what we can.
  • Restrict Processing: You can ask us to limit how we use your information in certain situations.

To exercise any of these rights, just reach out to us using the contact info at the bottom of this page. We'll handle your request within a reasonable timeframe.

We don't hang onto your information forever. Here's our general approach:

  • Active Customers: As long as you're bringing vehicles to us, we'll keep your records current and accessible.
  • Service History: We typically maintain service records for 7-10 years. This covers warranty periods and provides a solid maintenance history if you come back after a while.
  • Financial Records: Tax laws require us to keep invoices and payment records for several years. Usually around 7 years in Canada.
  • Inactive Accounts: If we haven't seen you in several years and there's no ongoing warranty or legal reason to keep your info, we'll eventually archive or delete inactive records.

Our services are for adults. We don't knowingly collect information from anyone under 18. If you're a parent and think we somehow have info about your kid, let us know and we'll delete it immediately.

We might update this privacy policy from time to time - new regulations, changes in how we operate, that sort of thing. When we make significant changes, we'll post the updated policy here with a new "Last Updated" date at the top.

If the changes are major, we'll try to give you a heads-up via email or a notice on our site. But it's worth checking back occasionally if you're concerned about this stuff.

We're based in Calgary, Alberta, and we follow Canadian privacy laws - specifically PIPEDA (Personal Information Protection and Electronic Documents Act) and Alberta's privacy legislation.

These laws give you certain rights about your personal information, and we take our obligations seriously. If you have concerns about how we're handling your data, you can contact the Office of the Privacy Commissioner of Canada.
